Privacy Protection for ePRO mobile users

Quadratek Data Solutions (QDS) is committed to protecting your privacy while utilizing this mobile application. To perform this activity, we limit the personal information collected on Clincase ePRO users. Additionally, we take steps to safeguard the personal information collected through procedures, system safeguards, and ensuring servers used to support the application are in a secure data facility.

This page informs you of our policies regarding the collection, use, and disclosure of personal data (“Data”), as further explained herein, the categories of personal information we collect about you, why we collect the information, and to whom that information may be disclosed from users of this application.

What Personal Information Do We Collect?

Clincase ePRO does NOT collect personal information such as your name, age, gender, email address, phone number, residential address.

The information Clincase ePRO collects and uses includes certain data about the devices you use to access our application (i.e., mobile device data and mobile device access information). This data is collected to enable QDS personnel to troubleshoot any issues with user access, system usage and to send push notification reminders for your assigned study.

Mobile Device Access

We may request access or permission to certain features from your mobile device, including your mobile device’s storage, microphone and/or camera access for the purposes of providing the service to you. If you wish to modify the access or permissions of the application, you may do so in your device’s settings.

Mobile Device Data

Device information such as your mobile device ID number, model, and manufacturer, version of your operating system, IP address, or other info you choose to provide. This information is used solely to provide you with our services and to assist in troubleshooting.

Push Notifications

We may request to send you push notifications as study-related reminders regarding your questionnaire status or video call events in the Mobile Application. If you prefer not to receive these types of communications, you can disable them within the app and in your device's settings.

Clincase limits its collection and use of personal and device data to the scope which we are able to adequately support users who require access to the application. We protect data in a manner that allows such information to always remain confidential and limit access to data that is granted only to our employees or authorized third parties who have a business need to know. Additionally, we prohibit the unauthorized, or unnecessary release of data that is provided by our users.

Why Do We Collect Your Information?

Clincase limits the collection and processing of personal information that is relevant to, and not excessive for, the following purposes:

• Operate, maintain, administer, and improve the performance of the application and provide your assigned access.
• Allow you to join a video call scheduled with your clinical site
• Manage and communicate with you regarding your ePRO questionnaire status by sending you push messages, as a reminder to complete your daily questionnaires or about video call events scheduled for you in our Mobile App
• Respond to our CRO partners about your service-related requests to them

Security

The safety and security of your data are important to Clincase. However, please keep in mind that no method of transmission over the Internet is 100% secure. Although Clincase utilizes security measures within the device and application to protect your data, Clincase cannot guarantee its absolute security.

Transfer of Data Internationally

Clincase servers are located within Germany. If you are accessing our application from outside of Germany, please be aware that your data will be transferred to/from our servers located in Germany. Please be aware that even if you are not a resident of the European Union, your data will be kept in accordance with the comprehensive data protection laws of the European Union. Clincase takes the necessary measures to protect your data when transferring it outside of your geographic region, ensuring all onward transfers of your data comply with cross-border transfer requirements.

Protecting Your Personal Information

Clincase has implemented an information security program that includes physical, technical, and procedural measures to protect your personal information from unauthorized access, unlawful processing, and accidental loss, destruction, or alteration.

Retention

Clincase will only retain information about you for the duration of your clinical study and no longer than necessary and required by clinical trials legislation, applicable laws and requirements during your participation in an assigned clinical study.
